Event Policies and Disclaimers

Cancellation Policy

Pre-Conference activities:

  • Cancellations by November 1, 2022: 100% refund.
  • No refunds after November 1, 2022.

If a workshop or trip should be canceled due to low registration, a full refund will be issued to the registrants.


  • Cancellations by October 1, 2022: 100% refund
  • Cancellations by November 1, 2022: 50% refund
  • No cancellations after November 1, 2022

Photography, Audio, and Video Recording 

The United States Lavender Conference is held in a public space; therefore, we do not prohibit participants, exhibitors, sponsors, or news organizations from photographing, video or audio-recording some Conference activities. United States Lavender Growers Association reserves the right to use images taken at the Conference with your photograph and/or likeness on social media and/or in future marketing materials. United States Lavender Growers Association is NOT responsible for individual attendees’ use of your image or likeness.

USLC Room Block 

The United States Lavender Grower’s Association has arranged for a discounted room rate for attendees of the conference with Hyatt Regency Portland. In exchange for pre-blocking rooms, Hyatt Regency has agreed to apply a 3% rebate per booked room back to the master account to help offset the costs of running the conference and providing amenities for attendees. By booking within the discounted block, you are agreeing to this policy. 

Event Code of Conduct 

In connection with, and as a condition of, the undersigned’s attendance at events conducted by the United States Lavender Growers Association and their affiliates I confirm, acknowledge, and agree as follows:

I represent that I have adequate insurance to cover any injury or illness I may suffer or cause while participating in this activity, or else I agree to bear the costs of such injury or illness myself. I further represent that I have no medical or physical condition which could interfere with my safety in this activity, or else I am willing to assume – and bear the costs of – all risks that may be created, directly or indirectly, by any such condition. 

Content: The Event is purely an educational event put on by USLGA and is intended for a general audience and does not purport to be, nor should it be construed as, specific advice tailored to any individual. 

I understand and agree that the information from this program is for my personal use only, and may not be sold, tape-recorded, videotaped, shared, taught, given away, or otherwise divulged without the express written consent of UNITED STATES LAVENDER GROWERS ASSOCIATION or its designated agent. I also understand that I, while free to share my experiences and my personal results of this training, will keep the experiences and statements, oral or written, of all other participants in this training in the strictest of confidence. 

COVID-19 Waiver

I understand the hazards of the novel coronavirus (“COVID-19”) and am familiar with the Centers for Disease Control and Prevention (“CDC”) guidelines regarding COVID-19. I acknowledge and understand that the circumstances regarding COVID-19 are changing from day to day and that, accordingly, the CDC guidelines are regularly modified and updated, and I accept full responsibility for familiarizing myself with the most recent updates. Notwithstanding the risks associated with COVID-19, which I readily acknowledge, I hereby willingly choose to participate in the event. I acknowledge and fully assume the risk of illness or death related to COVID-19 arising from my being on the premises and participating in the United States Lavender Conference event and hereby RELEASE, WAIVE, DISCHARGE, AND COVENANT NOT TO SUE UNITED STATES LAVENDER GROWERS ASSOCIATION, their owners, officers, directors, agents, employees and assigns (the “RELEASEES”) from any liability related to COVID-19 which might occur as a result my being on the premises and participating in the conference. I understand that the risk of becoming exposed to or infected by COVID-19 at the United States Lavender Conference event may result from the actions, omissions, or negligence of myself and others, including, but not limited to, USLGA employees, volunteers, and program participants and their families. I shall indemnify, defend and hold harmless the USLGA from and against any and all claims, demands, suits, judgments, losses, or expenses of any nature whatsoever (including, without limitation, attorneys’ fees, costs, and disbursements, whether of in-house or outside counsel and whether or not an action is brought, on appeal or otherwise), arising from or out of, or relating to, directly or indirectly, the infection of COVID-19 or any other illness or injury. It is my express intent that this Waiver and Hold Harmless Agreement shall bind any assigns and representatives, and shall be deemed as a RELEASE, WAIVER, DISCHARGE, AND COVENANT NOT TO SUE the above-named RELEASEES. I hereby knowingly and voluntarily waive any right to a jury trial of any dispute arising in connection with this agreement. BY ACKNOWLEDGING THIS AGREEMENT, I ACKNOWLEDGE AND REPRESENT THAT I have read the foregoing Wavier of Liability and Hold Harmless Agreement, understand it and sign it voluntarily as my own free act and deed; no oral representations, statements, or inducements, apart from the foregoing written agreement, have been made; I am at least eighteen (18) years of age and fully competent; and I execute this Agreement for full, adequate and complete consideration fully intending to be bound by same. I indicate that I have had sufficient opportunity to read this entire release and waiver document and acknowledge that I have understood it and agree to be bound by its terms. No representation, statements, or inducements, oral or written, apart from the foregoing written statements, have been made.
